Figure out who your community is, and get them together, This process can be used with a large group, but for simplicity, 30-40 may be best.

All or part of 5-S, depending on the complexity of your project and nature of your organization. Usually best to do all, but always do Systems, Situation, and Strategies. All stakeholders participate in all steps, though may not do every piece for every asset. To manage time, you’ll want to use break-out groups and full group work.

Even divvying up the workload among break-out groups, there is a substantial time commitment for organizers and participants. Depending on how detailed a plan you want, and how complicated your issues, you’ll probably need 2-3 meetings, averaging 1.5-2 full days. Split this up into shorter sessions, but on average, 30 hours total work time for your stakeholders.

You’ll want to give folks at least 2 months advance notice of the meeting, and you may need 1-2 months to create your list of invitees. Once your meetings are complete, plan for 2-6 months to write the plan and get necessary reviews. Realistically it should take 4-6 months, but could take as much as 9.
